Event Pre-Booking Campaigns

Fill Your Calendar Before the Doors Open

Turning Conversations into Revenue.

Trade shows and exhibitions work best when meetings are booked before you arrive — not when you're relying on footfall and hoping the right people walk past your stand. We run pre-booking campaigns that target the right attendees, decision-makers, and local prospects so your diary is filled with qualified appointments before the event starts. The result is a measurable ROI from your exhibition spend rather than a pile of business cards and optimistic follow-up intentions.

What an Event Pre-Booking Campaign covers

We run a structured multi-channel pre-booking campaign across four components:

- Target list build — we identify registered attendees (where available from event organisers), sector prospects who are likely to attend, local businesses near the venue, and any existing warm contacts or pipeline that coincides with the event geography or sector focus
- Outreach sequences — personalised email, LinkedIn, and calling sequences targeting each segment with relevant messaging. The message is event-specific: an invitation to meet at the stand, a reason to book time, and a clear calendar link
- Meeting booking process — a frictionless booking flow using calendar tools (Calendly or equivalent) with auto-confirmation, reminder emails, and a brief pre-meeting questionnaire so reps know who they're meeting and what to prepare
- Prep pack for your team — talk tracks, meeting goal templates, and qualification questions so every booked meeting has a purpose and an outcome, not just a 20-minute chat
- On-site follow-up workflow setup  — so the leads generated during the event feed into a post-event follow-up sequence immediately, with no lag

What you'll get from an Event Pre-Booking Campaign

- A built target list — segmented into registered attendees, sector prospects, and local businesses, with contact details validated and prioritised by fit
- A 3–5 touch outreach sequence — email, LinkedIn, and calling steps, written and scheduled, with personalisation by segment
- A calendar booking page — configured with your available slots for the event, auto-reminders sent to booked contacts, and a brief qualification form
- A meeting prep pack  — per-meeting briefing template with the booked contact's background, your relevant proof point for their sector, and 3–5 discovery questions
- A live meeting tracker — a simple dashboard showing bookings confirmed, meetings completed, and pipeline generated, updated in real time during the event
- A post-event handoff — all booked contacts, notes, and outcomes fed into your CRM and into the post-event follow-up sequence, within 24 hours of the event closing

Who this is for

This service is for any B2B company exhibiting at a trade show, conference, or sector exhibition that wants to maximise return from the investment. Common situations where pre-booking campaigns make the biggest difference:

- You've exhibited before and generated leads but found follow-up didn't convert as hoped
- Stand costs are significant (£5,000–£50,000+ including space, build, travel, and staff time) and ROI needs to be demonstrable
- Your target prospects attend the same events you do but you haven't had a systematic way to get meetings confirmed in advance
- You have a new product, service, or market message to introduce and want guaranteed attention at the event
- Event lead capture has historically been patchy — business cards, scanned badges, no follow-up SLA

Best fit: B2B companies exhibiting at events with 500+ attendees, especially sector trade shows where target prospects are known in advance.

How an Event Pre-Booking Campaign works — 3 stages over 4–6 weeks

Weeks 1–2 — List build and outreach preparation. We build the target list, segment by priority, configure the booking calendar, write the outreach sequences, and set up the CRM tracking. We brief your team on the meeting prep pack format and confirm your available slots for the event.

Weeks 2–5 — Outreach and booking. We run the multi-channel outreach campaign, managing responses, handling scheduling queries, and updating the meeting tracker daily. We send reminder sequences to confirmed bookings in the 48 hours before the event.

Event + Week after — On-site and follow-up handoff. We provide the daily meeting schedule with briefing notes for each appointment. Within 24 hours of the event closing, all contacts, outcomes, and notes are uploaded to CRM and the post-event follow-up sequence is triggered. We deliver a campaign summary report covering contacts reached, booking rate, meetings held, and pipeline generated.

Results you can expect

Based on pre-booking campaigns run for B2B exhibitors at UK trade shows and sector conferences:

- 20–35 qualified meetings booked for a typical 2-day exhibition, versus 5–10 through stand-only networking
- 25–35% of outreach contacts convert to a booked meeting when the campaign is run 4–6 weeks before the event with personalised, event-specific messaging
- 40–60% of pre-booked meetings convert to a next step (follow-up call, proposal, or site visit) within 30 days of the event
- Exhibition ROI improves significantly  — the cost per qualified conversation drops sharply when the diary is full rather than relying on footfall
- Follow-up conversion rate improves because contacts who have booked a meeting in advance are more committed than badge scans picked up at the stand

Four to six weeks before the event is the ideal window. Earlier than 6 weeks and meeting requests are easy to ignore or forget. Later than 3 weeks and diaries are filling up. If you have less than 4 weeks before your event, contact us anyway — we've run compressed campaigns in 2–3 weeks with good results, though the list build and sequence length need to be adapted.

Pricing is bespoke and depends on the size of the target list, the number of outreach channels (email only vs. email + LinkedIn + calling), and whether post-event follow-up setup is included. Most pre-booking campaigns land in the Foundation tier — £3k–£8k. We scope and quote after a short call and a brief on your event and target audience.

Sometimes. Some events publish attendee lists or exhibitor lists. Others make them available to exhibitors on request. Where event-sourced lists aren't available, we build from sector-specific data sources targeting the types of companies that attend the event, supplemented by LinkedIn targeting for confirmed attendees who announce their attendance publicly.

Event details (name, date, venue, sector focus), your target ICP (or we use your existing ICP definition), your available meeting slots at the event, and a 60-minute kick-off call to align on messaging and goals. If you have a previous attendee list or warm contacts from prior events, those feed directly into the outreach list.

All contacts and meeting outcomes are uploaded to your CRM within 24 hours of the event closing. Pre-booked contacts who attended their meeting move into the post-event follow-up sequence immediately. Contacts who booked but didn't show get a dedicated re-engagement sequence. Stand contacts captured during the event (badge scans, business cards) can be added to the follow-up flow if you also want our Post-Event Follow-Up Engine service.

A 30-minute call is enough to scope the campaign and confirm what's achievable before your event date.
